NextGen Media ("we", "our", "us") operates ngmedia.in, its careers pages, and related services. This policy explains what data we collect, why we collect it, how AI providers may process it, and the choices available to you.

1. Information we collect

  • Account data: name, email address, and profile information you provide when you sign up.
  • Usage data: pages visited, features used, and session metadata collected automatically.
  • Communications: messages you send us via email or through the platform.
  • LinkedIn data: only data you explicitly connect through our outreach tools.
  • Job applicant data: your name, email address, phone number, resume, employment history, skills, portfolio or profile links, answers to application questions, consent record, application status, and notes created during recruitment.
  • AI-assisted screening data: resume text and application answers sent for screening, plus generated scores, summaries, strengths, and potential concerns used by our hiring team as review aids.

2. How we use your information

  • Provide, operate, and improve our services.
  • Send transactional emails (magic link sign-in, reports, meeting confirmations).
  • Generate AI-powered content strategy and LinkedIn growth reports on your behalf.
  • Receive, organise, assess, and respond to job applications, including AI-assisted screening followed by human review.
  • Respond to support requests and communicate service updates.

3. Data sharing

We do not sell your personal data. We share data only with the sub-processors needed to operate the service:

  • Supabase: authentication and database hosting.
  • Cloudflare R2: file and document storage, including applicant resumes.
  • Amazon SES: transactional email delivery.
  • DeepSeek and OpenAI: AI processing for product features and applicant screening. For screening, the information sent may include the job description, application answers, and parsed resume text. We exclude the dedicated name, email, and phone fields from the AI prompt, but resumes and free-text answers may themselves contain personal details.
  • Cal.com: meeting scheduling (self-hosted on our infrastructure).

4. AI-assisted hiring

When you apply for a role, we may use DeepSeek or OpenAI to generate a structured score and written assessment from the job description, your application answers, and parsed resume text. We ask for your explicit consent before submission.

AI output can be incomplete or inaccurate. It supports our hiring team's review and does not make the final hiring decision. Our team can review the underlying application, adjust its assessment, and decide whether to progress or reject a candidate. You may contact us to ask about or challenge the use of your data in this process.

5. Data retention

Account data is generally retained while an account remains active. Applicant data is retained for as long as reasonably needed to administer the relevant recruitment process and meet legal, security, and record-keeping obligations. You may request deletion at any time by emailing us at team@ngmedia.in. We will verify and act on valid requests, subject to information we must keep for legal, security, fraud-prevention, or backup purposes.

6. Cookies and tracking

We use only essential session cookies required for authentication. We do not use advertising or analytics cookies, and we do not track you across other websites.

7. Security

Data is transmitted over HTTPS. We use access controls and restricted storage credentials to limit who can reach account and applicant information. No online system is completely secure, so please contact us promptly if you believe your information has been exposed.

8. Your rights

Depending on where you live, you may have rights to access, correct, delete, restrict, or object to processing of your personal data, or withdraw consent for future processing. Withdrawing consent does not affect processing already carried out lawfully. Contact us at team@ngmedia.in and we will acknowledge your request and respond within the period required by applicable law.

9. Changes to this policy

We may update this policy as the service evolves. Where appropriate or required by law, we will provide additional notice of material changes. The effective date at the top of this page reflects the latest version.
